Venue Hire Agreement — The Raven Warehouse

At The Raven Warehouse, we are committed to providing a high-quality, versatile space for your event. To ensure smooth operations and protect the integrity of our venue, all clients must agree to the following terms of hire.

1. Booking Confirmation

• A booking is only confirmed upon receipt of the required deposit or full payment (as specified in your invoice).
• Provisional holds will not guarantee your date unless payment is made.
• By confirming your booking, you agree to all terms outlined in this Venue Hire Agreement.

2. Access & Hire Period

• You are entitled to use the venue only during the agreed hire period stated in your confirmation.
• This includes time for bump-in (set up), the event itself, and bump-out (pack down).
• Early access or overtime must be requested in advance and may incur additional fees.
• Failure to vacate on time will result in overtime charges.

3. Use of Space

• The hired space may include the main event area, VIP section, stage, LED screen, lighting booth, and other features as agreed upon at the time of booking.
• Access to restricted areas (e.g. technical rooms, staff storage) is prohibited unless authorised by management.
• Any alterations to the space (e.g. decorations, lighting setups, equipment installations) must be approved in writing before the event.

4. Capacity & Compliance

• The number of attendees must not exceed the venue’s approved capacity.
• The host is responsible for ensuring all guests and vendors comply with safety, noise, and behaviour regulations.
• The venue reserves the right to eject or refuse entry to individuals behaving inappropriately.

5. Venue Condition & Cleaning

• The venue must be left in the same condition in which it was presented.
• All decorations, rubbish, and equipment must be removed by the end of the hire period.
• Cleaning fees may apply if the venue is left in an unacceptable condition or excessive cleaning is required.

6. Damages & Liability

• The hirer is fully responsible for any damage caused to the venue, equipment, or furnishings during the event.
• Any damage must be reported to venue staff immediately.
• Repair or replacement costs will be charged directly to the hirer.

7. Noise & Neighbour Consideration

• While The Raven Warehouse is designed for energetic events, noise must remain within council-approved levels.
• The venue reserves the right to reduce sound levels or end an event early if noise complaints or safety issues arise.

8. Termination of Hire

• The Raven Warehouse reserves the right to cancel or terminate a booking without refund if there is a breach of any terms, especially in matters involving safety, underage drinking, or illegal activities.
• In such cases, authorities may be notified if required

9. Event Registration with Local Authorities (Highly Recommended)

• We highly recommend that all event hosts register their event with the Queensland Police, particularly for large gatherings, youth events, or parties involving alcohol.
